How it's worked out

Plain arithmetic, done the same way every time. Your venue has the final say on which tables fit the room and how many chairs go around each one.

  1. Tables: guests divided by seats, rounded up

    100 guests at tables of 8 is 12.5 tables, so you need 13. Anything less leaves someone standing.

  2. Guests spread evenly

    Instead of filling tables one by one and leaving the last one nearly empty, guests are spread so no two tables differ by more than one person. 100 guests at 13 tables of 8 becomes 9 tables of 8 and 4 of 7.

  3. The head table comes off first

    Everyone at a head or sweetheart table is taken out of the guest count before the other tables are worked out. That table is shown on its own.

  4. Spare seats add a table only when needed

    If you ask for spare seats, a table is added only when the empty seats already left over aren't enough.

  5. Table sizes are starting points, not rules

    We start round and rectangular tables at 8 and long rows at 20 because they're common setups. What fits depends on your venue's tables and chairs, so ask what they seat comfortably.

Questions couples ask

How many people fit at a round wedding table?
It depends on the table's size and the chairs. Venues often set round tables for 8 or 10, and some larger rounds take 12. Ask your venue how many their tables seat comfortably with place settings, not the most chairs they can squeeze in.
How many tables do we need for 100 guests?
At tables of 8, you need 13 tables: 9 of 8 guests and 4 of 7. At tables of 10, 10 tables seat everyone with no empty seats. If two of the 100 sit at a sweetheart table, you still need 10 tables of 10, with 8 tables of 10 and 2 of 9.
Should the head table be included in the guest count?
Include everyone in the number of guests, then turn on the head table and enter how many people sit there. They're taken out before the guest tables are counted, so nobody is counted twice or left out.
Why not fill every table to the max?
Filling tables one at a time often leaves one table with only a few people. Spreading guests evenly uses the same number of tables and gives every table a similar size group. The empty seats also give you somewhere to put a late addition.
