How to put the count together

These are suggestions, not rules. Your catering contract and your caterer's own forms come first.
  1. Count every course separately

    If guests choose a starter and a main, each course needs its own total. Knowing how many people want the salmon doesn't tell the kitchen how many soups to make.
  2. Check each course against your guest count

    Each course should add up to the number of guests attending. If one comes up short, someone hasn't chosen yet or a reply was missed.
  3. Ask how children and vendors are counted

    Some caterers serve a separate kids' meal, others count children as regular guests. Vendor meals are often a different plate. Ask before you send the count.
  4. Send the dietary notes with the totals

    List each allergy or restriction with the number of guests it applies to. If your caterer needs names or table numbers for those guests, they'll ask.

Questions couples ask

What does a caterer need for the final count?
Usually the number of guests attending, how many chose each option in every course, any children's or vendor meals, and the allergies and dietary restrictions. Some caterers also want meal choices by table so servers know who gets which plate. Ask yours what format they prefer.
Do vendors need a meal at the wedding?
Many couples feed the vendors who work through dinner, like the photographer, videographer, DJ or planner, and some vendor contracts require it. Caterers often offer a simpler vendor plate, so ask how they price it and whether it counts toward your total.
Should children's meals be counted separately?
It depends on your caterer. Some have a kids' menu, others charge the regular price above a certain age. Ask how they count children, then list them the way they ask.
Is anything I enter saved or shared?
