Share access with your caterer, DJ or planner
Invite a vendor to a read-only view of just the parts of your wedding they need, and change or end their access whenever you like.
Updated October 7, 2026
Give each vendor a live, read-only view of just the details they need. Your caterer sees meal counts, your DJ sees the schedule, and your planner sees the full picture.
Invite a vendor
Open the Vendors page
Go to Vendors (in your dashboard: Vendors) in your dashboard and select "Invite vendor".
Enter their email and vendor type
Type the vendor's real email address. Choose a "Vendor type": Planner, Caterer, DJ / band, Photographer, Venue, Florist or Other. You can also add a "Name (optional)", such as the name of their business, to find them easily in your list.
Choose what they can see
Each vendor type starts with a sensible set of sections already ticked. Adjust them under "What they can see":
- "Headcount & RSVPs": totals of attending, declined and pending, per event.
- "Schedule & locations": your timeline, events and venues.
- "Meals & dietary": meal counts, plus each attending guest's choice and dietary needs.
- "Seating chart": tables and who sits where, by name only.
- "Guest list": names, parties and RSVP status.
- "Guest contact details": adds emails, phone numbers and mailing addresses.
Send the invite
Select "Send invite". We email the vendor a link to view your wedding details.
Vendors get read-only access. They can look, print and download a CSV, but they can't change anything.
Sharing guest details
- Choosing "Guest contact details" also shares guest names, so the "Guest list" section is added for you. We show a warning first, because guest emails, phone numbers and mailing addresses will be shared with that vendor.
- Meals and seating show guest names, never contact details.
- In the "Meals" tab, each guest's table appears only when you also share the "Seating chart". Share both with your caterer if they need to deliver meals table by table.
How a vendor signs in
Vendors don't get a password. They open the link in their invite email, enter the address you invited, and we email them a 6-digit code. They have to use the same email you invited. If the code expires, they can ask for a new one.
Change, resend or end access
Each vendor in your list has a "See what they see" button, which previews their view (see See exactly what a vendor sees), and a ⋯ menu with:
- "Edit access": change which sections they see. "Changes apply immediately", so the vendor's next page load reflects it.
- "Resend invite": send the email again. You can send or resend an invite to the same vendor up to 3 times a day.
- "View activity": see what they viewed, exported or downloaded, and when.
- "Revoke access": they lose access right away and show as "Revoked".
Once a vendor is revoked, the ⋯ menu offers:
- "Re-invite": give them access again.
- "Delete vendor": removes the vendor and their access history from your list. You can't undo it, but you can invite them again later.
When access ends
Vendor access ends 60 days after your wedding date. It also pauses if your trial ends or your plan lapses, and comes back once your plan is active. New invites can't be sent after the access window has closed.
Vendors never see your dashboard. If you want your partner or planner to edit things, add them as an admin instead from Access & Permissions (in your dashboard: Account).
